Receiving Guide

All merchandise coming into the EFS Receiving Department will be required to have a packing slip and a scannable, visible barcode. This can be a UPC barcode already assigned to a product, or it can be a barcode created for your own internal SKU number. All barcode labels must be scannable without opening or unwrapping the packaged item. Merchandise sent in poly bags require a minimum bag thickness of 1.5 mil. Poly bags with openings greater than 5” must have a visible suffocation warning.

Note: If any client sends merchandise without a packing slip, or if any client sends merchandise without barcodes and declines EFS-supplied barcodes, that client will be subject to an increased likelihood of order processing and inventory control errors, and, per our Service Agreement, that client agrees to hold EFS harmless for any order processing or inventory control errors, including, but not limited to, order processing delays, packing mistakes, return processing mistakes, misdirected shipments, and inventory count errors. The cost of EFS-supplied barcodes is outlined on the final page.

How to Prepare Your Products

Apparel, Fabric, Plush Items & Textiles

Examples: Clothing, purses, towels, plush toys.

Required: Scannable barcode label, poly bag.Prep Required: Place in a poly bag, seal, and label.

Small Items (longest side is less than 3 inches / 7.6 centimeters) 

Examples: Jewelry, key chains, ash drives.

Required: Scannable barcode label, poly bag.

Prep Required: Place in a poly bag, seal, and label.

Powder, Pellets & Granular Materials

Examples: Face powders, sugar, powder detergents.

Required: Scannable barcode label, poly bag.

Prep Required: Place item in a transparent poly bag, seal, and label.

Fragile / Glass

Examples: China or dishware, picture frames, clocks, mirrors, liquids in glass bottles or jars.

Required: Scannable barcode label, bubble wrap, box, or poly bag if sufficient protection after bubble wrapped.

Prep Required: Wrap in bubble wrap, place inside box or poly bag, seal, and apply barcode label.

Please Note: If you are not able to bubble wrap prior to shipping us your inventory, we can wrap the items as we process your orders. We will charge an additional $0.30 per item for this. We can also pre-wrap the merchandise when it arrives at our facility. The cost is $20 per half hour. If we pre-wrap, the added order processing fee of $0.30 will not apply.

Sharp, Pointed, or Other Items that are a Safety Concern

Examples: Scissors, tools, metal raw materials.

Required: Scannable barcode label, bubble wrap, box.

Prep Required: Wrap in bubble wrap or place inside a box to cover all exposed edges, seal, and label.

Please Note: If you are not able to bubble wrap prior to shipping us your inventory, we can wrap the items as we process your orders. We will charge an additional $0.30 per item for this. Liquids - NOT IN GLASS

Examples: Liquids in plastic bottles holding more than 8 oz. without a double seal.

Required: Scannable barcode label, poly bag, packaging tape if needed.

Prep Required: Tighten lid, place in poly bag, seal, and label. It is recommended that a piece of sturdy packaging tape be put over the top of any twist top or pop up lid, after tightening.

Bundled Products

Examples: Vitamin multi-packs (more than one unit sold as one SKU).

Required: Scannable barcode label, box, poly bag, or shrink wrap.

Prep Required: Multi-packs should arrive at the EFS warehouse already bundled, or, with prior arrangements made to have the items bundled/kitted together in our Kitting/Assembly Department. If you elect to do yourself, you can bundle multi-packs in boxes, poly bags, or by using shrink wrap. Af x the label for the multi-pack on the outside of the packaging.

Please Note: If your product has an expiration date, please also see “Expiration Dated Products” below.

Baby Products

Examples: Items for children three years and under (teething rings, bibs), or exposed toys (boxes with cut-outs in the packaging larger than 1” square).

Required: Scannable barcode label, poly bag.
Prep Required: Place item in a transparent poly bag, seal, and label.

Adult Products (non-nutraceutical)

Examples: Items that may be considered “obscene” to a third party.*

Required: Scannable barcode label, black or opaque poly bag or shrink wrap.

Prep Required: Shrink wrap or place in an opaque poly bag, seal, and label.

* If your product is of an adult nature, but does not display any of the items mentioned in the examples, and/or you are not sure about whether or not your product falls under this category, please check with your dedicated account representative. We do not accept any items that deal with any type of nude images, profanity, or pornography.

Food, Beverage, or Products Packaged with Food

Examples: Dried fruit, juices, packaged cereals or prepared foods.

Required: Scannable barcode label.

Prep Required: Perishable items are not allowed. Non-perishable items must be lot-controlled and more than 90 days from the expiration date at the time of receipt by EFS. Products within 50 days of the expiration date will be disposed of or shipped to you at your expense. Note: Please also see “Expiration Dated Products” below.

Vitamins, Nutraceuticals, Skin Care (non-liquid)

Examples: Men/women supplements (capsules/tablets), beauty products such as skin creams that are not liquid.

Required: Scannable barcode label, retail packaging provided by the manufacturer, or poly bag.

Prep Required: Any items in this category without a barcode on the item must be placed in a poly bag with the barcode affixed to the outside. If your item comes in a retail box with a scannable barcode or has the scannable barcode on the actual product, a poly bag is not necessary. Note: Please also see “Expiration Dated Products” below.

Expiration Dated Products

Examples: Food products and other merchandise with expiration dates.

Required: Scannable barcode label, expiration dates.

Prep Required: Expiration dates must be displayed in the MM-DD-YYYY format. If the expiration date is printed in a different format, a label with the correct format must be applied and must cover the original expiration date. The expiration date must also be printed on the master carton, in 36 point font or larger. Lot numbers are insufficient.

Receiving & Special Project Fees

Basic Receiving (Counting, Inspection, Put-Away): $8.95 per half hour

Barcode Labeling: $20 setup fee + $0.10 per item

Bagging & Barcode Labeling: $20 setup fee + $0.20 per item

Kitting & Assembly: $20 per half hour

Shrink Wrapping: $20 per half hour

Fee Charged if Packing Slip is Not Provided: $35 per shipment

For merchandise that arrives fully prepped, our typical receiving time is 2-3 business days. For merchandise that requires bagging and/or labeling, the receiving time will be 3-5 business days.
